How to upload a file

Before uploading pdfs, make sure they are OCR. If you have questions about whether or not your pdfs are OCR, contact Strategic Communications.

  1. Log into Omni
  2. Navigate to your files or docs directory
  3. Click the grey “upload” button near the top right
  4. Click the green “+Add” button
  5. Select the files you want to upload
  6. Click the blue “Start Upload” button
  7. Once files have been uploaded, click the green “Close” button.
  8. Publish the files

How to replace a file

  1. Log into Omni
  2. Navigate to your files or docs directory
  3. Click the grey “upload” button near the top right
  4. Check the "Overwrite Existing" checkbox
  5. Name the updated file with the same name as the file you are replacing
  6. Select the files you want to upload
  7. Click the blue “Start Upload” button
  8. Once files have been uploaded, click the green “Close” button.
  9. Publish the files

File Naming

The following rules and guidelines will assist with ensuring that all pages and files load properly in a wide-variety of browsers and operating systems and will also allow you to create clear file structures that assist with site maintenance:

  • No capital letters.
  • Alphanumeric naming is preferable.
  • Do not use spaces.
  • Underscores may be used, e.g. file_name.xxx
  • Hyphens (-) may be used, e.g. file-name.xxx
  • No special characters such as  ~ ! @ # $ % ^ & * ( ) ` ; < > ? , [ ] { } ' " |
  • For content that is published periodically, using YYYYMMDD or YYMMDD at the beginning of the file name makes sure all of your files stay in chronological order. It also adds the user if identifying content that has been produced over the span of many years.
  • Be descriptive but brief with file names.
  • When using a sequential numbering system, use leading zeros to sort files in sequential order. For example, use "001, 002, ...010, 011 ... 100, 101, etc." instead of "1, 2, ...10, 11 ... 100, 101, etc."

File names should allow you to readily identify the content of a file. A best practice is to utilize consistent naming conventions, this is particularly helpful if more than one person is responsible for adding or maintaining website content. Some ways you may consider naming files include:

  • Type of data, e.g. grad-requirements.xxx
  • Abbreviation or acronym, e.g. fafsa.xxx
  • Version number or file number, e.g. ps107.xxx
  • Date of publication, e.g. 20170209-article.xxx
